How to use it

  1. Make a working copy. Open the CSV in your spreadsheet app and save it in a company-approved location.
  2. Ask department leads and staff. Add one row per tool and use case, including personal accounts used for work and AI features inside existing software.
  3. Record categories, not confidential content. Note the kinds of information involved and the systems a tool can access. Do not paste sensitive examples.
  4. Record what still needs checking. Use “Not sure” when settings, permissions, or ownership need confirmation. Name the responsible role, not individual employees.
  5. Review it when things change. Add a review date, next action, and action owner role. Keep the file current as tools and uses change.
